What DocLink Does

DocLink is intended to help organizations transition from paper-based processes to digital document management, thereby improving visibility, control, and efficiency. It integrates seamlessly with several ERP systems, including Acumatica, Sage 100, Sage 300, Sage 500, and Sage ERP x3, among others. This integration enables the automation of document capture, indexing, approval processes, and distribution, significantly reducing the reliance on paper and associated manual errors.

Document Capture and Indexing

DocLink allows users to capture electronic images of documents, which are then indexed with property values such as dates, reference numbers, and names. This indexing enables efficient searching, retrieval, and processing of documents.



Workflow Automation

The solution includes robust workflow automation capabilities, allowing documents to be routed automatically through predefined workflows. Users can configure workflows to require approval or denial notes, as well as info notes, before moving documents to the next workflow status. The Workflow Supervisor feature in DocLink 4.0 enhances this by allowing users to filter workflows by status and category, and view the date and time documents entered the workflow.



Search and Retrieval

DocLink provides a secure, single repository for storing, searching, retrieving, and sending documents. Users can search documents using their property values and perform actions such as viewing, printing, faxing, or emailing them.



Integration Capabilities

DocLink integrates with on-premise and cloud-based ERP systems, ensuring that users can leverage their existing business applications. The new data gateway in DocLink 4.0 enables pre-packaged integrations with on-premise ERPs to work seamlessly in the DocLink Cloud environment.



Enhanced Web Client

The Web Client in DocLink 4.0 has been significantly enhanced to rival the functionality of the Smart Client. Features include improved indexing capabilities, simplified document selection for indexing, and the ability to export search results to CSV files. Additionally, users can configure batch folders for uploading documents and modify document property values from the Index tab.



Mobility and Usability

DocLink 3.1 introduced several features to support a mobile workforce, including enhanced mobility options, drag-and-drop indexing, and improved notes management. The solution also includes an Enhanced Import Manager that monitors email inboxes for automatic message and attachment import.



Version Control and Smart Forms

DocLink offers version control for editable documents, allowing users to check out, modify, and check back in documents as new versions. The Smart Form Toolkit enables the configuration of custom Smart Forms to streamline business processes such as document creation, indexing, and retrieval.



Security and Access Control

The system ensures secure access to documents by organizing them into document types and top-level folders, with access controlled by user roles. This ensures that only authorized users can access specific documents.
